How I look after your information when you get in touch, book me, or browse the site. Plain English, no legal fog.

The short version

I only collect the information I need to answer your enquiry, plan your day, and deliver your film. I never sell your details to anyone.

The people I share information with are the everyday tools that keep the business running, things like my website host and my payment provider. Your wedding film stays private unless you're happy for me to share parts of it.

You can ask me at any time what I hold about you, ask me to correct it, or ask me to delete it. Drop me a message at terry@capturethatfilms.co.uk and I'll sort it.

Who I am

Capture That Films is a wedding videography business run by me, Terry Anderson, based in Preston, Lancashire. When this policy says "I", "me" or "my", that's Capture That Films.

I'm what data protection law calls the "controller" of your information, which means I'm the one responsible for looking after it. If you ever have a question about your privacy, you can get me at terry@capturethatfilms.co.uk.

This policy explains what I collect, why I collect it, who I share it with, and the rights you have over it. It's written to meet UK data protection law (the UK GDPR and the Data Protection Act 2018).

What information I collect

Depending on how you interact with me, this can include:

When you enquire

  • Your name, email address and phone number
  • Your wedding date and venue
  • Anything you tell me in your message, on my contact form, or in an Instagram or WhatsApp chat

When you book

  • Your address and the details I need for your booking and contract
  • Payment information when you pay a deposit or balance (handled securely by my payment provider, see below)
  • Practical details about your day, such as your timings, key people, and any requests you've shared with me

On the wedding day and after

  • Video and audio footage of you, your partner, and your guests. This is the heart of what I do, and it counts as personal information too, so I treat it with care

When you browse the website

  • Basic technical information collected through cookies and analytics, such as your device type, rough location, and which pages you looked at. More on this in the cookies section below

How I use your information, and why I'm allowed to

UK law says I need a clear reason ("lawful basis") for using your information. Here's how that breaks down.

To reply to your enquiry

So I can answer your questions and send you pricing and package details. My basis here is taking steps at your request before any contract, and my legitimate interest in running the business.

To film and deliver your wedding

So I can plan your day, turn up, film it, edit it, and get your film to you. My basis here is fulfilling the contract between us.

To take payment

So I can process deposits and balances. My basis is fulfilling our contract, plus the legal obligation to keep proper financial records.

To keep my records straight

So I can meet tax and accounting rules. My basis is my legal obligation as a business.

To share parts of your film as my work

If you're happy for me to, I may show clips or photos from your day on my website, Instagram, or to future couples. My basis here is your consent, and you can change your mind at any time. There's more detail in the next section.

To understand how the website is used

So I can see what's working and improve the site. My basis for non-essential cookies and analytics is your consent, which you give through the cookie banner.

Using your wedding film

Your film is yours. I'd love to share parts of it to show future couples the kind of work I do, but only if you're comfortable with that.

I'll always talk to you about this rather than spring it on you. If you'd rather I kept your day completely private, that's absolutely fine, just tell me. If you said yes at the time and later change your mind, get in touch and I'll take the relevant content down from anything I control. Some things shared publicly, like a post that's already been reshared by others, can be harder to fully claw back, so I'll be honest with you about that.

Who I share your information with

I don't sell your information, ever. I do use a small set of trusted services to run the business, and some of them handle your information on my behalf:

  • Squarespace, which hosts my website and handles its built-in analytics and contact features
  • Web3Forms, which delivers the messages you send through my contact form
  • Stripe, which securely processes card payments. I never see or store your full card details
  • My bank, when you pay by bank transfer
  • Google Analytics, which helps me understand how the site is used
  • Meta (Instagram and Facebook), through a tracking pixel that helps me see how my ads and posts are performing
  • My online gallery and cloud storage, where your film is delivered and backed up securely
  • My accountant, where needed to meet tax and accounting rules

I may also share information if the law requires it, for example to comply with a legal request. Beyond that, your details stay with me.

How long I keep your information

I keep things only as long as I need to.

  • If you enquire but don't book, I'll usually keep your enquiry for up to a year in case you come back to me, then clear it
  • If you book, I keep your booking and financial records for six years after your wedding, because tax law requires it
  • Your finished film and the footage behind it, I keep so I can re-supply your film if you lose it or need it again. If you'd prefer I delete your footage after delivery, just ask

Cookies and tracking

Like most websites, mine uses cookies, which are small files stored on your device. Some are essential to make the site work. Others are optional and only used if you agree through the cookie banner.

  • Essential cookies from Squarespace, which keep the site running and secure
  • Google Analytics, which tells me, in an anonymised way, how people find and use the site
  • Meta Pixel, which helps me measure how my Instagram and Facebook activity is doing

You can accept or reject optional cookies through the banner when you arrive, and you can change your browser settings at any time to block or clear cookies. Turning off optional cookies won't stop you using the site.

Where your information is stored

Some of the services I use, such as Stripe, Google and Meta, are based outside the UK, which means your information may be processed in other countries. Where that happens, those companies are required to protect it to a standard recognised under UK law. Your film and personal details are never sent anywhere just for the sake of it.

Your rights

UK data protection law gives you a set of rights over your information. You can ask me to act on any of these, free of charge in almost all cases.

See what I hold

Ask for a copy of the information I have about you.

Correct it

Ask me to fix anything that's wrong or out of date.

Delete it

Ask me to erase your information, where there's no reason I need to keep it.

Limit how I use it

Ask me to pause using your information in certain situations.

Object

Tell me you don't want your information used for something, such as marketing.

Move it

Ask for your information in a portable format to take elsewhere.

Withdraw consent

Where I rely on your consent, you can take it back at any time.

Complain

Raise a concern with me, or with the regulator (see below).

Complaints

If something about how I've handled your information doesn't sit right, please tell me first so I can put it right. Get me at terry@capturethatfilms.co.uk and I'll acknowledge your complaint within 30 days and work with you to sort it.

If you're still not happy, you have the right to complain to the Information Commissioner's Office, the UK regulator for data protection. You can reach them at ico.org.uk or on 0303 123 1113.

Keeping your information secure

I take sensible steps to keep your information safe, including secure storage, password protection, and only working with reputable services that take security seriously. No system is ever completely risk-free, but I treat your details, and your film, with real care.

Children

Weddings are family days, so children often appear in the footage I film. I treat any information about children with extra care, and I'll always follow your wishes, and theirs, when it comes to sharing anything that features them.

Changes to this policy

If I update how I work, I'll update this page and change the date at the top. It's worth a quick look now and then so you know where things stand.
